How YMCA South Australia Cut Operational Reports from a Day to 30 Minutes with Claude

YMCA South Australia is a nonprofit social enterprise delivering recreation, aquatics, gymnastics, children’s services, and allied health programs at more than 65 locations across South Australia. With around 1,250 staff and over $50 million in annual revenue from government contracts, it operates with a deliberately lean corporate services team that handles marketing, technology, finance, risk, and people and culture for the entire network.

The constraint wasn’t talent—it was throughput. Comparing performance across 65 sites meant manually working through multiple databases and thousands of records, a process too slow to run frequently or deeply. A constant queue of communications, tender submissions, and stakeholder reports competed for the same limited team capacity. “Our goal was to reduce time on repeatable, structured work so the team could focus on strategy and relationships,” said Devan Seamans, Head of Marketing and Technology.

Adoption started organically: one staff member began using Claude personally, the value became clear, and the organization evaluated how to scale responsibly. Values alignment mattered—YMCA South Australia handles sensitive data across children’s services, health programs, and employment records. Anthropic’s enterprise controls gave leadership the confidence to commit. The rollout was phased: personal adoption first, then organization-wide deployment with SSO enforcement and domain capture, followed by building more than 20 custom skills that encode organizational knowledge, brand standards, and operational procedures.

Operational reports that once consumed a full day can now be produced in under 30 minutes—with cross-site benchmarking, trend analysis, and recommended actions included. Tender submissions now reflect a depth of financial modeling and stakeholder alignment that would have been difficult to deliver manually in the available time. When a new fitness studio launched at one recreation center, Claude produced email sequences, social media content, a marketing plan with competitor analysis, and website copy within days—work that would normally take the team weeks.

Claude is now embedded in YMCA South Australia’s FY2027–2030 organizational strategy. Custom skills are enabling site managers to independently develop program concepts and evaluate risk assessments without requiring corporate services involvement at the ideation stage—distributing organizational intelligence across 65 locations while maintaining consistency. “The future for us is about Claude becoming embedded infrastructure: a core part of how we operate, report, and serve our communities,” said Seamans.
